1985 - 86 Joined THRTI – Bhubaneswar (Tribal Harijan Rural Training Institute) a

government undertaking, for the job of Coding the data collected from various

tribal pockets of Orissa and preparing a coded sheet.

1986 - 87 Joined Augasti Associates, Bhubaneswar a chattered account firm for the job

of auditing. In this tenure I did audit work of more than 15 Gramya banks in

various places of Orissa, 2 business firms. This includes extensive tour to

places in Orissa and completing the job in a stipulated time

1988 – 2006 Joined CDMU, Bhubaneswar (Community Development Medicinal Unit) in the year

February 1988 as the Accountant
About Organisation – Community Development Medicinal Unit (CDMU-Orissa unit)

is a non-profit organisation that has been working in the field of community

health from the year November 1987.
The major activity of CDMU consists of supplying reliable and quality

medicines (generic) and medicaments to the health programmes of NGOs and

charitable institutions. Also promoting ‘Rational Use of Drugs’ which entails

generic Medicines and Medicaments.

Jan Swasthya Abhiyan is the Indian circle of the people’s Health Movement, a

worldwide movement to establish health and equitable development as top

priorities through comprehensive Primary Health Care and action on the

social determinants of health. It is a growing coalition of people’s

organisations, civil society organisations, NGOs, social activists, health

professionals, academics and researchers who are working consistently towards the

goal of “Health for All”

Mahavir Enterprisers is a unit of various activities, like Printing Press,

Screen Printing, Binding Unit, Making Memento Brass, wood, silver). The

business of this Unit has gone down after the sudden death of its owner cum

Manager.

I joined there and set all the procedures for the firm and same has accepted

and implemented by all the workers and it stared giving good profit.

2009 Started the Trust Named as ‘Essential Drug Procurement Unit – Orissa’ This

Trust is working for Availability, Accessibility, Affordability of essential

medicines and information to the common people of the state Orissa.


Experience

I have continued with the organisation, Community Development Medicinal Unit (CDMU-Orissa

unit) from Feb - 1988 to March – 2006. I was actively involved with all the activities of

the organisation. I have served the organisation as Accountant from the year 1988 then as

Administrative Officer from the year 1995 and as Chief Executive from 1996.

VMG (VISION, MISSION, GOAL) STATEMENT

Prepared the VMG statement for the organisation brought the consensus among the board

members and staffs of the organisation. Till date the CDMU is running business with this VMG

OPERATIONAL PLANNING

Plan with goals, objectives and a time frame has been prepared. Preparing with operational

goals being presented to staffs who have build expectations for their goals and everyone

knows the plan. The plan includes equipment purchases and additional staffing and personnel

targets. This plan also tells about extend of staff and equipment can actually produce at

full capacity.

INFORMATION COLLECTION

Collecting information of the customer and supplier is very important to start and running

the business. Selecting the primary sources and secondary sources for the information

collection and in due course of time it is corrected through various activities.
Market information Generic & Brand User and suppliers are collected. At the same time

Customer’s purchase capacity, Ordering time, Payment procedure, mode also collected

FINANCE

Books of records - As the organisation was initiating the activities, I have prepared all

books of records for the organisation, which includes Cashbook, Ledgers, and other books.
Financial Statements – Every year financial statement being prepared to know the financial

position of the organisation and planning for the next year. This is apart from the annual

audit.

Allocating Funds – fund allocation for the each activities of the organisation i.e. Sale

Promotion, Sales, Procurement, Packing Material & Packing, Travelling & Conveyance,

Stationeries etc.

General - Projecting cash needs, controlling costs, monitoring cash flow are some of the

daily responsibility I have been involved. Apart from this building good relations with

sources of funding, hiring or using outsource expertise as necessary.

ADMINISTRATIVE

Procedure and Process – administrative procedure and process have been made and further

strengthened, which controls their movements and expenses. It is just not the minimising the

expenses but to tag the expenses with the activities.
Maintaining records – Nos. of books of records, files have been prepared to handle the

customer, suppliers, and other visitors smoothly and timely. Starting from visitors record

to balance sheet have been made and staffs are assigned with the respective

responsibilities.

Recruiting – Conducted and managed 4nos of interview process for the recruitment of new

staffs. Setting the procedure and process for interview and implementing the same

successfully was the specific responsibility of mine.
Staff Development – Activities have been undertaken for the refreshment like, Picnic &

visiting places. Also in service training to the staffs have been made. Each staff has their

profile, where their service record and performance record have been maintained.

CONTACTING --- CUSTOMER

Customer List – Preparing the list of customer after due collection of information from

various sources like, Churches, Dispensaries, Hospitals, Well Wishers, Journals, Books,

Telephone Directories Etc.
Personal contact – Personal contacts have been developed with the customer to understand the

specific need for services of the customer and through visiting the place of the customer,

corresponding with them regularly.
Nos. of Customer – In the year of beginning, 20 customers were listed. It has grown up to

more than 250 regular customer and more than 500 irregular customer, who comes as and when

they have program. List is annexed.

CONTACTING--- SUPPLIERS

Suppliers List – Preparing the list of suppliers after due collection of information from

various sources like, CIIMS, Distributors, Journals etc
Personal contact – Personal contacts have been developed with the suppliers to understand

the bottlenecks in the supply, credit side, though visiting them personally and

correspondence with them

Nos. of Suppliers – In the year of beginning, 7 suppliers are listed. It has grown up to

more than 70 as regular suppliers and more than 50 irregular suppliers. List is annexed.
--- OTHER SERVICE PROVIDERS

Other service providers like Transporters, Vender for packing materials, stationeries, and

professional like Doctors, Pharmacologist have been contacted to provide the services.

NEGOTIATION

Customer – It was nearly a daily responsibility for the supply of medicines and thereof.

Apart from this negotiating for a group of customer organisations, Meeting with their top

bosses for final negotiation. Negotiations have made for Converting brand order to Generic,

price, delivery packing, payments etc.
Suppliers – It was a daily responsibility for the procurement of medicines. Apart from this

meeting for specific need or order also organised. Price negotiation is the main thing with

the suppliers, apart from this supplying time, transporters and payment dates also

negotiated.

Government – Government is the single largest buyer of the medicines in Orissa. Negotiations

have been made for their program requirements. Government used to give variety health

program to the NGOs, which also have medicines component. For the said reasons negotiation

have been made to list the supplier.
I NGO – Organisation like UNICEF, UN, World Bank Project, DFID, Action Aid, Oxfam, Concern

India, give various project to the Ngos. Negotiations have been made with them for enlisting

the name.

CONFLICT MANAGEMENT

In the business arising conflicts are very common phenomenons but addressing timely help

business to move forward. At times conflicts also used for the betterment of the business.

Conflicts between, staffs of each section, between suppliers, between customer and to some

extend family conflicts are also handled. For the said reason, CDMU the organisation runs

the business smoothly without any litigation.

DESK RESEARCH

Analysing data of the Field reports, Sales record, Purchase record and Stock record is one

of the important task for facilitating better decision. This has resulted in minimising

stock of medicines in CDMU’s store. The medicine requirement of each medicine for all the

season has been calculated and given to purchase section to manage the procurement. This has

further streamline the investment for the stock of medicines.

SALES

The sales activity has resulted to get the more sales to the organisation. The organisation

begins with turnover of Rs. 100,000/- per annum and it has gone up to 1.5 crores per annum.

This was only with one segment of the customers i.e.. The said organisation has limitation

to supply other segments like government store, corporate sector, Community based

organisations, other profit making organisations

Sales Activity includes
 Attending the customers and visited them for the sale of the medicines.
 Pushing the more material to the customers
 Responding to complains
 Follow – up with the sales
 Empowering other staffs with training for getting sales.

PROCUREMENT

In the beginning of year the procurement of medicines were made for Rs. 1.5 lakhs from 7 – 8

Suppliers. It has increased to more that 1.5 / - crores from more than 130 suppliers
Procurement Activity Includes
 Attending and meeting with Suppliers
 Cutting down our Purchase items
 Responding to complains
 Follow – Up with the suppliers
 Giving them the payment in time.
 Empowering other staffs to deal with suppliers
 Planning for the seasonal procurement

TRAVELLING

I have visited all the district of Orissa. It is just not the city but also the rural areas

of the state. The purpose of visits were sales follow-up, attending customer complain,

organising meetings, Seminars, attending meeting of the NGO. Period of each travel varies

from 3 – 15 days

Out side Orissa, I have visited West Bengal, New Delhi, Hyderabad, Bhopal, Ahemadabad, and

Gujarat for the purpose of appraisal, attending seminar, workshop, and presenting papers.

Period of each travel varies from 7 – 20 days

MEETING AND SEMINARS

I have conducted and organised numbers of meetings, seminars, and workshops for the

organisation. The participants were NGO Workers, field workers, Ngo Leaders Doctors,

Pharmacologist, Nurses and other health service providers

TRANSFER OF SKILLS

Activities have been taken up to transfer skills and knowledge through in-house training

program and out side training programs. With the same skill now the staffs of the CDMU are managing and running the business.
